Global Operations Administrator

Are you a detail oriented, process-minded administrative professional who wants to implement important administrative and communications processes to support journalists around the world?

Then apply to be the Global Press Global Operations Administrator.

We are looking for a resourceful, energetic admin to work with the Global Press team to ensure no detail is left behind as we create world-class journalism from the least-covered parts of the world every day.

You will report to Global Press leadership, based in D.C., and engage with dozens of journalists based in more than 40 independent Global Press news bureaus around the world. It’s important that you are comfortable working across cultures and have a truly global perspective.

Your responsibilities will include:

Organize

Maintain orderly and supportive administrative systems to ensure global teams are engaged with Global Press HQ staff.

Manage editorial logistics, from booking travel to submitting conference applications, fielding technology and travel requests from reporters to processing reimbursements for staff members.

Support reporters and editors by managing and ensuring Duty of Care processes and protocols are followed to ensure reporters are safe and healthy.

Ensure that new staff members and interns are equipped with appropriate technology, software, onboarding schedules and other general needs.

Collect, track and communicate leave requests from global team and HQ.

Collaborate with the Operations Team to ensure that all bureau locations have appropriate licenses and that team members have proper press passes, business cards, media accreditations.

Collaborate with the Development Team to ensure that all business filings are completed in a timely manner.

Work with the Leadership Team to develop, implement and communicate updates to the HQ and Global Team Policy Handbook

Ensure the storage facility is well organized and all technology and property is well accounted for and managed.

Communicate

Coordinate all behind-the-scenes operations and global communications to ensure that all relevant people, no matter where they are in the world, are present at news meetings.

Serve as a member of the Duty of Care Communications Team, filing timely incident reports and communicating urgent needs about reporter safety.

Collect story pitches submitted on time from each region and provide the Editor-in-Chief with an updated spreadsheet with the pitches to be considered each week.

Field daily inquiries from reporters to the appropriate personnel related to travel, software and hardware needs, internet connectivity, financial requests, etc.

Notify Newsroom Leadership of upcoming deadlines for awards and conference submissions.

Schedule meetings, including managing virtual meeting software, take and distribute relevant notes and reporters.

Support the Editor-in-Chief and Standards Editor with the search and testing process for Global Press Accuracy Network (GPAN) members.

Assist the Standards Editor to ensure the GPAN is well managed and on-boarded to Global Press.

Support the Editor-in-Chief to run seamless monthly reporter team meetings.

Assist with events, Board of Directors meetings and other special engagements to ensure organized execution.

Develop SOPs for any new processes created at Global Press.

Support the COO in sending copyright infringement letters on behalf of Global Press.

Assist the COO in creating reporter and GPAN contracts.

Process

Run monthly reporter contract reports for the Leadership Team and produce a monthly reporter contracts review with Newsroom Leadership.

Assist in timely and accurate processing of all reporter payments and contractor invoices.

Manage general office supplies, including ordering and tracking their use.

The successful candidate will have:

An innate ability to multitask, connect people, perfect minute details and use critical thinking to ensure smooth operations within complex systems – and find value in doing so.

Experience and comfort working with Dropbox, Google Drive and Salesforce.

An exceptional ability to manage time and to manage up.

A keen eye for detail.

Knowledge of current technologies and communication systems (i.e. Whatsapp, Slack, Zoom).

Experience and comfort working with Dropbox, Google Drive and Salesforce.

Excellent writing and verbal communication skills becoming of a world-class news organization. (* Note: Global Press requires candidates to take a writing assessment.)

The ability to respond immediately and effectively to challenges with enthusiasm and good humor.

The other important stuff:

The successful candidate will have 3-5 years of prior experience in professional office management, administrative roles, operations, or human resources. Previous newsroom experience is not required.
